ASSOCIATION APPLICATION PREPARATION

Miami Beach condo seawall grant planning: a board-ready checklist

An association application needs more than an interested board member and a contractor estimate. Establish which entity owns the property, who can authorize the application, and who maintains the shared project file.

Confirm ownership and application authority

The City process requires the owner or commitment from the ownership structure. The active application lists an association resolution authorizing submission and incorporation/good-standing evidence where applicable. Confirm the current required documents and the authorized representative with the program and the association’s appropriate advisers. This guide does not draft a resolution or determine voting powers.

Build a board packet that separates decisions from missing records

Use one index and version date so board members are reviewing the same information. Identify which questions require a professional or City response, and keep sensitive records in an appropriate secure association file.

Use this worksheet offline. Scroll sideways on a small screen, or print/save this page with your browser. Blank cells are for your own copy; nothing is entered or sent here.

Assign one document coordinator

  • Track the exact Elevation Certificate separately from a general survey.
  • Confirm active flood-insurance evidence and the ownership/entity records requested for this application.
  • Record each missing item, responsible person and expected next action, without treating a target date as a promise.
  • Identify who will provide required owner signatures, certifications and acceptance of official terms.

Commission a common scope before comparing proposals

Keep the relevant survey, professional assessment, design questions and existing notices together. Ask companies to price a comparable scope and identify exclusions or allowances. A board cannot resolve an engineering difference merely by choosing the lowest total. Have the appropriate professional explain the options.

Keep three funding questions separate

Conditional City reimbursement, the association’s funding arrangements, and insurance coverage are different decisions. Do not assume a grant covers every proposed item, supplies advance cash, or pays a consulting fee. Do not assume an individual unit policy or loss-assessment provision pays for a common seawall project. Ask the appropriate licensed agent and association advisers for property-specific guidance; this page does not determine reserve, assessment or voting obligations.

Finish the packet with the next decision

Name the decision requested, supporting records, unresolved questions and responsible people. Keep application authorization distinct from contractor selection and construction authorization. Our planned paid support can organize paperwork and hiring comparisons with agreed authority and scope; it does not provide legal, engineering, or insurance determinations.

Planning information only, not an inspection, engineering or legal advice, compliance determination, or quote. Confirm project requirements with the City and qualified professionals.
